Your privacy is important to us. This policy explains how Mentorship Center Forms (a service provided by Plademy Oy) collects, uses, and protects the personal data you submit, in compliance with the EU General Data Protection Regulation (GDPR). We describe what happens to your form data and which systems help us process it, all in clear language.
Plademy Oy (“we” or “us”) is the company behind Mentorship Center Forms. We are based in Finland and are responsible for handling your personal data (the “data controller” under GDPR). If you have any questions or requests about your data, you can contact us at:
When you fill out a Mentorship Center Form, we collect the information you provide. This typically includes personal details such as your name, email address, phone number, and any other information you enter into the form fields. We only ask for information that is relevant to the mentorship program or service you are signing up for.
In addition, when you submit the form, our system may automatically record basic technical information like your IP address and the time of submission. We use this data for security and logging purposes (for example, to prevent spam or duplicate entries). We do not collect any sensitive categories of data unless explicitly stated (and if we ever do, we would ask for your explicit consent).
We use the data you submit only for the purposes you would expect, for example to provide you with mentorship services or respond to your request. In practical terms, this is how your form data is processed:
We do not use your personal data for any purposes incompatible with the above. Specifically, we will not sell your data or use it for advertising. Everything we do with your information is aimed at providing and improving the Mentorship Center service you requested.
Legal Basis: We process your data on the basis of consent and legitimate interest. By submitting the form, you consent to us using your information to respond and provide the mentorship services. We also have a legitimate interest in processing the data in order to run our mentorship program efficiently and effectively. In all cases, we ensure that your rights and interests in your personal data are protected.
Your data is primarily stored and processed within the European Union:
All the companies we work with to process or store data have committed to GDPR compliance and use strong security measures. We remain responsible for the protection of your data throughout these processes.
To provide the Mentorship Center Forms service, we rely on several trusted third-party tools. These tools act as “data processors” on our behalf – they help us do specific jobs with your data. Each of these providers is only allowed to use your data in order to provide their service to us (for example, to send an email you requested, or to host our database) and not for their own purposes. We do not share your data with any external parties beyond these services. Below is a list of the key tools and what we use them for, including links to their official privacy policies:
WordPress (Website Platform) – We use WordPress to power our website and forms. WordPress is an open-source content management system that displays the Mentorship Center Forms on our site. (See the WordPress Privacy Policy for how WordPress handles data.)
Elementor (Form Builder Plugin) – Elementor is a plugin we use to create the actual forms on our WordPress site. It helps with the design and collection of form responses. (See the Elementor Privacy Policy for more details.)
n8n (Automation Workflow) – n8n is a workflow automation tool. We use n8n to securely transfer and route your form data between systems. For example, n8n may take the form submission and automatically send the data to our email service or save it to a Google Sheet. This helps ensure your submission is processed quickly and correctly. (See the n8n Privacy Policy for information on how n8n protects data.)
Amazon Web Services (AWS) – We use AWS to host some of our servers and databases in Frankfurt, Germany. AWS provides the cloud infrastructure where your data is stored and processed. Additionally, we use Amazon SES (Simple Email Service), which is Amazon’s email-sending service, to send you emails (such as confirmation messages). Your data (like your email address and content of the email) is processed by Amazon SES only to send the communication. (See the AWS Privacy Notice for how Amazon Web Services handles personal data.)
Hostinger (Web Hosting) – Hostinger is another hosting provider we use for our website, with servers in the Netherlands. It ensures our website (and thus the forms) run smoothly and that data is stored reliably. (See Hostinger’s Privacy Policy for more information.)
Google Sheets (Data Storage) – We sometimes export or synchronize form responses into Google Sheets to organize information internally (for example, to have a list of all mentorship sign-ups in a spreadsheet that our team can review). When we do this, your data is stored on Google’s servers as part of the Google Sheets service. We protect the sheet with proper access controls so only our team can see it. (See Google’s Privacy Policy to understand how Google services handle data.)
OpenAI (AI Service) – OpenAI provides advanced AI models which we may use to analyze text. We might send some of the text from your form (for instance, your answers to open-ended questions) to OpenAI’s service to get AI-generated insights or summaries. This can help us understand your needs better or respond to you more effectively. (See OpenAI’s Privacy Policy for how they handle any data input into their systems.)
Google Gemini (AI Service) – Google Gemini is an AI platform from Google that we might use similarly to OpenAI’s service, for analyzing or processing the text you’ve submitted. If used, your data would be processed by Google’s AI under Google’s strict privacy and security protocols. (See Google’s Privacy Policy, which covers Google’s AI services as well.)
DeepSeek (AI Service) – DeepSeek is another AI tool that can assist in processing natural language input. In certain cases, we might use DeepSeek’s AI to help interpret or categorize information you provided in the form. Any use of DeepSeek is solely to help us with the mentorship process (for example, summarizing your goals or questions). (See the DeepSeek Privacy Policy for details on how DeepSeek manages data.)
Anthropic (AI Service – Claude) – Anthropic’s Claude is an AI assistant that we might utilize to analyze or summarize your responses. Similar to OpenAI and Google Gemini, this would involve sending text from your form to the Claude AI and receiving a summary or analysis, which our team would then use. (See Anthropic’s Privacy Policy for information on their data handling practices.)
x.ai (Grok AI Service) – x.ai’s Grok is an AI tool that can answer questions or analyze text. We might use Grok to help draft responses or gain insights from your submission. For example, if you ask a complex question in your form, we could use Grok to ensure we provide a thorough answer. Any data shared with x.ai is limited to what’s necessary for the task and is not used by x.ai beyond processing our query. (See x.ai’s Privacy Policy to learn how Grok and x.ai protect user data.)
Each of these services only receives the information necessary for them to perform their function. For example, if we use an email service, it gets your email address and message content to send the email; if we use an AI service to summarize a response, it gets the text that needs summarizing, but not, say, your contact details unless those are part of the text. We have agreements in place with these providers (or rely on their publicly stated privacy commitments) to ensure your data is handled with care and protected. We regularly review our use of these tools to make sure they meet our privacy and security standards.
We do not share your personal data with third parties for their own independent use or marketing. This means we never sell your information to advertisers or unrelated companies. The only external parties that might handle your data are the service providers listed above, and they only do so to help us operate the Mentorship Center Forms service.
In plain terms: your data stays within our organization and the circle of trusted tools we use to run our services. Each of those tools is bound by privacy obligations and will not use your data for anything other than helping us provide the mentorship service to you.
There are only a few exceptional circumstances when we might disclose data to others, which are very uncommon, such as:
Aside from the above, only our team at Plademy Oy accesses your personal data, and even within our team, we limit access to only those who need to handle the information for the purposes described (e.g., our mentorship coordinators). All staff are trained to keep your information confidential.
We take data security very seriously. We have implemented appropriate technical and organizational measures to protect your personal data against unauthorized access, alteration, disclosure, or destruction. Here are some of the ways we safeguard your information:
While we strive to protect your information, it’s important to note that no method of transmission over the internet or electronic storage is 100% secure. However, we follow industry best practices to minimize risks. If there is any breach of your personal data, we will inform you and the relevant authorities as required by law, and we will take all steps necessary to address it.
We will retain your personal data only for as long as necessary to fulfill the purposes we collected it for, including any legal, accounting, or reporting requirements.
In practice, this means:
If you would like us to delete your information sooner, you have the right to request deletion (see “Your Rights” below), and we will honor such requests unless we are required to keep the information for legal reasons.
As an individual in the European Union (or in a country with similar data protection laws), you have several important rights regarding your personal data. We are committed to upholding these rights. Below is a summary of your key rights:
Right to Access: You have the right to ask us if we are processing your personal data and, if so, to request a copy of the data we hold about you. This is sometimes called a “Subject Access Request”. We will provide you with a copy of your information, along with details on what data we have, why we have it, and who it may have been shared with, all within the legal timeframes (typically within one month).
Right to Rectification: If you believe any of the personal data we hold about you is incorrect or incomplete (for example, you mistyped your phone number on the form), you have the right to request that we correct or update it. We encourage you to contact us if any information needs to be fixed, and we will promptly make the corrections.
Right to Erasure: This is also known as the “right to be forgotten”. You can ask us to delete or remove your personal data in certain circumstances. For instance, if you submitted a mentorship inquiry but later decide you want us to erase all your details, you can request this. We will erase your data provided we don’t have a compelling reason to keep it (some reasons to refuse deletion could be a legal obligation to retain data, or if the data is needed to establish or defend legal claims).
Right to Restrict Processing: You have the right to request that we limit the way we use your data in certain situations. For example, if you contest the accuracy of the information or we no longer need the data but you want us to keep it just to be sure, we would mark the data to be used only for certain purposes (and not do anything else with it until the issue is resolved).
Right to Object: You can object to our processing of your personal data when we are doing so under a legitimate interest basis or for direct marketing. In our case, we do not send marketing without consent, and we rely on legitimate interest for some internal processing. If you object to something like receiving any updates about the mentorship program or our use of AI analysis on your data, let us know. In most cases, we will accommodate your objection unless we have overriding legitimate grounds to continue the processing.
Right to Data Portability: You have the right to receive the personal data you provided to us in a structured, commonly used, machine-readable format, and you can ask us to send that data to another data controller (for example, another service provider) where technically feasible. In simple terms, if you wanted to take the information you gave us and reuse it elsewhere, we can give you a copy in a format like CSV or JSON that can be easily read and transferred. (This right typically applies when processing is done by automated means and based on your consent or a contract.)
Right to Withdraw Consent: In cases where we rely on your consent to process data (such as if we ever asked for your consent to use your data for a specific purpose), you have the right to withdraw that consent at any time. For example, if you consented to receive optional update emails and then change your mind, you can opt out, and we will stop that processing. Withdrawing consent will not affect the lawfulness of any processing we did before your withdrawal.
Right to Lodge a Complaint: If you believe we have not handled your personal data properly or have violated your rights, you have the right to file a complaint with a supervisory authority. In Finland, you can contact the Office of the Data Protection Ombudsman (Tietosuojavaltuutetun toimisto). If you’re in another EU country, you can reach out to your local Data Protection Authority. Of course, we would appreciate the chance to address your concerns directly first, so we encourage you to contact us with any issue, and we will do our best to resolve it.
You can exercise any of these rights by contacting us at info@plademy.com. We may need to verify your identity to fulfill certain requests (to ensure we don’t disclose your data to someone else), but we will make the process as smooth as possible. There is normally no fee for exercising your rights. If your requests are unfounded or excessive (for example, repeatedly asking for data that has already been provided), the law allows us to charge a reasonable fee or refuse, but we have not had to do this and will try to accommodate requests whenever possible.
If you have any questions, concerns, or requests regarding this Privacy Policy or how we handle your data, please do not hesitate to reach out to us:
